Privacy Policy

This Privacy Policy explains how UFO Tools (“UFO Tools”, “we”, “us”, or “our”) collects, uses, stores, and shares information when you visit or use ufo-tools.fyi.
Information we collect
Account information
If you create an account with email and password, we store your email address and a securely hashed version of your password. We do not store your password in readable form.
Google sign-in information
If you choose “Continue with Google”, Google provides us with a unique Google account identifier, your email address and its verification status, and basic profile information you have made available, such as your name, profile picture, and language. We request only the basic profile and email permissions needed to authenticate you, create an account, or link Google sign-in to an existing account.
UFO Tools does not request access to your Gmail, Google Drive, contacts, calendars, or other Google content. We do not store Google OAuth access or refresh tokens.
Content and activity
We store content you submit, such as comments in the document library, together with the account that submitted it and relevant timestamps. When you comment, your display name and profile picture are shown with the comment to other signed-in members who can access that document.
Technical information
Our servers may process your IP address, browser and device information, requested pages, timestamps, and security or error logs. We use essential session and security cookies to keep you signed in and protect forms. Your colour-theme preference is stored locally in your browser. We do not currently use advertising cookies or third-party advertising analytics.
How we use information
We use information to:
- create, authenticate, secure, and support user accounts;
- provide case reports, the document library, comments, and other tools;
- maintain, troubleshoot, and improve the service;
- prevent fraud, abuse, and security incidents; and
- comply with applicable law and enforce our Terms of Service.
Google user data
Information received from Google is used only to provide and secure sign-in and account-linking features. We do not sell Google user data, use it for advertising, or allow people to read it except when necessary to operate or secure the service, with your consent, or as required by law. Our use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
When we share information
We do not sell your personal information. We may share information only with:
- Google, when you choose Google sign-in;
- infrastructure and service providers that process information on our behalf to host, secure, or operate UFO Tools;
- authorities or other parties when reasonably necessary to comply with law, protect rights and safety, or investigate abuse; and
- a successor in connection with a merger, acquisition, financing, or transfer of the service, subject to applicable law.
Retention and deletion
We retain account information and submitted content while your account is active and for as long as needed to provide the service, resolve disputes, meet legal obligations, and maintain security. Operational logs are kept for a limited period appropriate to their purpose. Residual copies may remain temporarily in backups before being overwritten.
You may request deletion of your account and associated personal information by emailing admin@ufo-tools.fyi. We may retain information where required by law or for legitimate security and dispute resolution needs. You can also revoke UFO Tools’ Google access from your Google Account permissions; revoking access prevents future Google sign-in but does not by itself delete your UFO Tools account.
Security
We use reasonable technical and organisational safeguards designed to protect information, including encrypted HTTPS connections and restricted access to production systems. No method of transmission or storage is completely secure.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information. To make a request, contact us using the address below. We may need to verify your identity before completing a request.
Children’s privacy
UFO Tools is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us.
Changes to this policy
We may update this Privacy Policy as the service or legal requirements change. We will publish the updated version here and revise the effective date above. Material changes may also be communicated through the service.
